General Ops Settings

This group of settings consists of the minimal and required definitions to work with Operations. 

They can be set and managed at Manage Configurations > Operations > General Ops Settings.

They are going to be assigned to Units at Unit Settings > Operations > General Ops Settings column. 

The following can be set:

  • Configuration name: name your General Ops configuration so you can easily identify it when you need to assign it to your units or edit it. 
    1. Check as “Default configuration”: in case all the units you manage share the same settings, this selection will assign the current configuration to any new unit you add to the system (so you avoid manual work).
    2. Check “Always sync special needs”: for the former KVRS system users, this option allows to receive the information from a booking field called “Special needs”. This option is not needed for you using the modern KigoPro platform as you are going to see this information in your bookings
  • End of Work Day: define the company’s end of work day. The system scheduler will use this to assign your non-same-day-checkouts (with lower priority) to the end of the day to make sure the same-days (with higher priority) get done first.
  • Check “Auto-publish Turn Tasks upon assignment”: when you assign a turn task to an employee, you can either manually publish it or publish it automatically This check will default all tasks assigned to being automatically published. 
  • Check “Notify guests when a check-in is scheduled or changes”: your guests will receive a message via email to access GuestXP (the Welcome App page, specific for every guest and bookings), where they will be able to see that the check-in has been scheduled or has changed to a different moment (in case it was already scheduled). 
  • Same-Day Turn Schedulingsection: this section will only apply to turns happening the same day. For example, a check-in happening the same day as a check-out in the same unit. You need to define these as well as the standard scheduling. 
    1. Schedule cleaning tasks: define how many hours after check-out cleanings will be scheduled
    2. Schedule inspection tasks: if an inspection task is needed, define how many hours after cleanings it will be scheduled
    3. Schedule Pre-Checkin Cleaning Tasks: if a pre-check-in cleaning task is needed, define how many hours before check-in it will be scheduled
    4. Schedule Guest Check In Tasks: define how many minutes before the check-in time set on the reservation a check-in task needs to be scheduled. The most used option is “0” as the task will be at the same time as the check-in. 
    5. Schedule Checkout Tasks: define how many minutes before or after the check-out time set on the reservation a check-out task needs to be scheduled (if needed). The most used option is “0” as the task will be at the same time as the check-out.
    6. Schedule Pickup Tasks: if a pick-up task is needed (typically a bus or train station pick-up or an airport pick-up), define how many hours before check-in it will be scheduled
  • Standard Turn Schedulingsection: this section applies to any turn happening on a different day than the latest one. For example, a check-in happening the day after a check-out for a unit. Defining them will allow the system to suggest your desired time for the task in the Turns page within Operations. 
    1. Schedule cleaning tasks: define how many hours after check-out cleanings will be scheduled
    2. Schedule inspection tasks: if an inspection task is needed, define how many hours after cleanings it will be scheduled
    3. Schedule Pre-Checkin Cleaning Tasks: if a pre-check-in cleaning task is needed, define how many hours before check-in it will be scheduled
    4. Schedule Guest Check In Tasks: define how many minutes before the check-in time set on the reservation a check-in task needs to be scheduled. The most used option is “0” as the task will be at the same time as the check-in.
